The World Bank Group (WBG) is seeking applications from eligible applicants for the post of Administrative Assistant.
The bank, with 189 member countries and more than 120 offices worldwide, works with public and private sector partners, invests in groundbreaking projects and uses data, research, and technology to develop solutions to the most urgent global challenges.
The WBG consists of five specialised institutions: the International Bank for Reconstruction and Development (IBRD), the International Development Association (IDA), the International Finance Corporation (IFC), the Multilateral Investment Guarantee Agency (MIGA), and the International Centre for the Settlement of Investment Disputes (ICSID).
Responsibilities
- Ensure all office facilities, including office buildings, generators, office surroundings and other office equipment, are in good condition
- Work closely with the building manager to ensure regular and proper maintenance of office facilities
- Supervise office assistants to ensure day-to-day checking of plumbing, electrical, carpentry and structural systems, detecting any faults and taking appropriate action
- Responsible for protocol services and support to international staff relocating to and from Tanzania country office
- Provide protocol services whenever the bank has high level VIP visitors
- Provide meet-greet-assist services at the airport, ensuring airport passes are valid, liaising with Ministry of Foreign Affairs for access to the VIP lounge and facilitation of documents required for charter flights
- Ensure appropriate office supplies of the right quality and quantity are procured, stored and made available to staff as and when required
- Draft visa letters for staff and other travelers on WBG-funded trips
- Supervise asset management function and ensure accurate list of assets in storage is maintained
- Participate in administrative procurement review committee and tracking of contract expiry dates for all administrative contracts in the office
Requirements
- College diploma or higher in Business Administration, Commerce, Facilities Management, Logistics, or a related field, with five years, minimum, of experience, or a suitable combination of education and years of experience
- Experience in a multinational organisation will be a plus
- Advanced knowledge and experience working with Microsoft Office applications (Excel, PowerPoint, Word, etc.)
- Ability and willingness to maintain up-to-date knowledge and skills in technology
- Good organisation, problem-solving and analytical skills
- Ability to work competently with minimal supervision
- Attention to detail and ability to manage and satisfactorily complete multiple tasks within agreed schedule
- Knowledge of own department’s programme and products
- Understanding of WBG policies and procedures relevant to the area of assigned responsibilities and be able to apply/implement them
- Good communication skills, and positive and professional client service attitude
- Ability to understand client needs and complete them professionally
- Ability to learn and share knowledge/information across the unit
- Ability to take personal ownership and accountability to meet deadlines and achieve agreed targets
- Collaborate with other team members and contribute productively to the team’s work output, demonstrating respect for different points of view
- Good English language skills (verbal and written)
