The International Labour Organisation (ILO) is seeking applications from eligible applicants for the post of Finance and Administrative Assistant.
The mission of the ILO is to promote rights at work, encourage decent employment opportunities, enhance social protection and strengthen dialogue on work-related issues.
Responsibilities
- Maintain financial records for the project account
- Code and record receipts and payments, verify the accuracy of calculations and the completeness of supporting documents, and maintain a continuing status of allotments against obligations
- Classify and assign budget codes, verify and process claims for payment, and check vouchers, prices and claim invoices
- Check and correct accounting information files in the Integrated Resources Information System (IRIS) and identify incorrect data
- Enter financial data into IRIS and print financial reports
- Perform routine reconciliation operations involving a variety of documents and accounts which require cross referencing between accounts
- Prepare recurring reports on assigned accounts, noting problems resulting from excess cost or less than expected receipts
- Prepare reports to clarify problems or as requested for other reasons
- Perform administrative work as processing of entitlements, issuance of contracts and maintenance of various official records and files
- Make travel arrangements, hotel reservations and make travel authorisation forms for technical experts and partners
- Participate in the organisation and preparation of meetings, seminars, workshops and conferences
- Classify and code material relating to a number of subject-matter areas
- Maintain, update and transmit the inventory records of non-expendable equipment
- Calculate and compile cost estimates and projected budget requirements, and assist in the preparation of budget statements for the area of assignment
- Process payments as travel allowance and settlements including payments to suppliers
- Provide advice and ensure administrative support as required
- Perform other duties as assigned by the project manager or the DWT/CO director
Requirements
- Secondary school education plus formal training in Accounting, Finance or Business Administration from a recognised commercial school or equivalent
- Five years of experience in clerical administrative work, including record keeping and processing of information and basic knowledge of report writing
- Experience in finance will be an advantage
- Excellent knowledge of English and good knowledge of one of the official national languages of South Africa
- Proven ability to use Microsoft Word, Outlook, PowerPoint and Excel efficiently
- Thorough knowledge of modern office procedures and accounting principles
- Knowledge of procedures for the preparation of documents and administrative forms, including personnel forms and contract templates
- Knowledge of creation and maintenance of filing systems
- Ability to reply in an appropriate manner to telephone and in-person enquiries
- Ability to communicate effectively with constituents, development partners and contractors and to respond to their queries efficiently
- Ability to evaluate correspondence and enquiries for best course of action
- Good organisational skills and ability to search and retrieve information from databases and compile reports
- Ability to respond to requests from high-ranking officials, and to deal with high-level visitors with tact and diplomacy
- Ability to deal with confidential matters with discretion
- Ability to work in a team and to work under pressure
- Ability to organise own work
- Ability to work with confidential material
- Attention to detail, and ability to work in a multicultural environment and to demonstrate gender-sensitive and non-discriminatory behaviour and attitudes
