The International Labour Organisation (ILO) is seeking applications from eligible applicants for the post of Programme Assistant.

The mission of the ILO is to promote rights at work, encourage decent employment opportunities, enhance social protection and strengthen dialogue on work-related issues.

Responsibilities

  • Assist with the planning and preparatory work of the organisation’s work programme and/or project initiatives
  • Monitor status of programme and/or project proposals and receipt of documentation for review and approval, verifying that information is in compliance with applicable rules, regulations, policies, procedures and guidelines
  • Monitor status of programme and/or project outcomes and deliverables and inform the supervisor of any discrepancies
  • Compile, summarise and present a variety of information and data to the supervisor on issues pertinent to the organisation’s work programme, including on budgets, staffing levels and structures of programmes and/or projects, and other related topics or issues
  • Maintain an overview of the financial situation of all DC projects, to ensure timely administrative support is provided in general and particular areas
  • Prepare and modify budget code and budget data
  • Follow up on administrative matters, including the timely submission of Terms of Reference (ToR) for external collaborators, confirmation of funds, and other required administrative actions
  • Provide administrative support for the organisation of seminars, workshops, meetings and other events
  • Maintain and update databases
  • Perform basic research for information to be used in the preparation and updating periodic reports, background information, briefing notes and statistical summaries
  • Respond to requests for general information on programme and/or project-related matters

Requirements

  • Secondary school education supplemented with technical or university courses in a field related to the work of the organisation
  • Five years of experience in handling programming and administrative tasks tied to a donor-funded project
  • Experience in working with an enterprise resource planning (ERP) system that focuses on programming modules
  • Excellent command of English and another language of the duty station
