The Family Health International (FHI 360) is seeking to fill the role of Project Assistant.
FHI 360 delivers sustainable, high-quality, comprehensive HIV/AIDS prevention, treatment, care and support services.
Responsibilities
- Be the first point of contact for the organisation with regard to events, workshops, programme activities and procurement of goods and services for the technical team
- Track, plan for, and organise the necessary documentations (terms of references, procurement requests and draft requests for quotations) needed to support the procurement team to initiate and complete procurements requested smoothly
- In tandem with the procurement team at the FHI 360 Ghana country office, and on behalf of the ASBC technical teams, follow through the procurement processes, logistical arrangements, technical dialogue and report development to ensure the timely and smooth delivery services requested by the technical teams
- Ensure proper tagging and inclusion of all items procured by the FHI 360 Ghana office on behalf of the technical teams
- Serve as programme assistant for the project technical teams
- Facilitate vertical and horizontal coordination and communication across the project team and serve as the key interface between technical and operational teams
- Maintain project inventory levels of applicable office and equipment and supplies
- Support technical implementation of the ASBC project and augment the operational and administrative needs of the ASBC project
- Support and work with the various technical advisors and officers within the technical teams in planning, organising workshops, and overseeing the provision of all logistical and administrative support to the project for training sessions, meetings, workshops, etc
- Provide administrative and project support in close collaboration with the project administrative assistant responsible for drafting correspondence, meeting notes, decision directives and other correspondence, as necessary
- Manage (generating, filing and retrieval) project-related documentation, both physically and electronically
- Assist with travel, accommodation and conference organisation to meet project needs
- Support the development and completion of written project deliverables, reports and donor correspondence
- Perform other related duties as assigned
Requirements
- Associate degree/diploma in Business Administration, Management, Economics, International Development, History, Political Science, Law, or Liberal Arts
- Three years, minimum, of progressively responsible work experience in administration and/or management support with a development entity involved in programming design, management and implementation
- Knowledge of general office practices and administrative procedures
- Resourceful in gathering and providing information
- Written, verbal, and organisational skills
- English grammar and punctuation skills
- Relevant computer software skills, including Microsoft Office products
