The World Health Organisation (WHO) is seeking to fill the position of Programme Assistant. 

WHO’s mission is to promote health, keep the world safe, and serve the vulnerable; working side by side with governments and other partners to ensure the highest attainable level of health for all people.

Responsibilities 

  • Initiate correspondence projects on the orientation of program managers
  • Organise the administrative preparation of internal and external meetings, including the preparation of business plans in GSM/Oracle, letters of invitation, cost estimates and travel requests; and assist in the preparation of documents
  • Analyse correspondence and requests received
  • Highlight incoming documents, attach background information and identify areas requiring action by programme managers
  • Obtain information documents for meetings, seminars, workshops, etc. which programme administrators take part in, verify their availability and ensure that they have the appropriate information file and documents
  • Ensure that technical reports and documents conform to WHO standards, rules, practices, procedures and editing style and correct them as necessary prior to submission 
  • Using appropriate monitoring tools, monitor and ensure deadlines and deadlines are met
  • Use GSM to prepare requests for official travel by programme administrators
  • Make airline and hotel reservations, prepare travel records and handle other related matters upon request
  • Perform other related duties as required or directed

Requirement

  • Completion of secondary school education and administrative training
  • Six years of experience in a recognised public or private institution
  • Experience in administrative support positions within WHO or another UN agency is an asset
  • Experience in Oracle-based systems or another ERP-like system is an asset
  •  Expert knowledge of English
