Food and Agriculture Organisation (FAO) is seeking applications from  eligible applicants for the post of National Professional Officer (Administration).

FAO is a specialised agency of the United Nations that leads international efforts to defeat hunger.

Responsibilities

  • Plan, organise, and coordinate  the office’s administrative services
  • Provide administrative support in the implementation of FAO collaborative programmes and ensure periodic monitoring of their implementation
  • Plan and implement procedures, norms and systems, in compliance with existing policies, for a full range of administration-related processes
  • Manage and supervise the administrative team
  • Review and analyse data from a wide variety of sources, including FAO’s corporate systems and database
  • Prepare reports, financial and budgetary estimates for projects
  • Plan and organise the application, control and accounting of approved budgetary allocations by projects and programmes
  • Prepare special reports for budget preparation, audits, and other requests
  • Review accounts, processes payments in accordance with established rules and liaise with local banks and financial institutions
  • Oversee the financial and administrative correspondence and filing system of the office
  • Monitor the receipt of government contributions and ensure that all procurement and custom clearances for programmes, projects and the office are properly requested and obtained
  • Ensure the compliance with the organisation’s security guidelines
  • Lead the implementation of streamlining of internal administrative procedures and liaise with other UN offices for common best practices
  • Participate as FAO focal point  in the relevant UN operations management team working groups to ensure timely and quality implementation of the business operations strategy for Ethiopia
  • Manage the office vehicles and ensure efficient organisation of transports;
  • Ensure that designated drivers adhere to standard operating procedures, and monitor fuel consumption and vehicle tracking system
  • Coordinate the management of the office’s premises, the allocation of space and the provision of services for the renovation and the maintenance of the premises
  • Coordinate support to the recruitment process of all categories of personnel, and prepare offers/terms of employment, providing advice and support on employment conditions, as needed
  • Manage all travel-related financial documents to verify propriety and accuracy for substantive correctness and system acceptability
  • Adjust and reconcile accounts and review computer-produced tabulations for the correctness of input
  • Coordinate the development and delivery of a range of staff development and training programmes

Requirements

  • Advanced university degree in a field related to business or public administration
  • Two years of relevant experience in office management, administration, human resources
  • Experience in management and administration
  • Knowledge of UN or standard operational rules and procedures and project/programme administrative management procedures
  • Working knowledge (level C) of English
  • Working knowledge of the local language (if not English, French, Spanish, Arabic, Russian or Chinese)
  • Nationality of Ethiopia
