World Health Organisation (WHO) is seeking applications from eligible applicants for the post of Admin Assistant.

The primary role of WHO is to direct and coordinate international health within the system of the United Nations.

Responsibilities

  • Receive, screen and process correspondence and requests, and follow up on implementation of all administrative actions, ensuring adherence to deadlines and timely response to correspondence and queries
  • Type, ensuring correctness of language as well as format, and in accordance with WHO Style Guide, correspondence, reports, documents and presentations upon written/verbal instructions, and independently compose correspondence of purely routine administrative nature
  • Assist in processing the transactions in GSM, including procurement of goods and services, completing necessary forms
  • Submit relevant documentation for approval, and follow up with concerned parties on the receipt of deliverables and finalisation of payments
  • Follow up on the continuity of the maintenance contracts related to the FMS activities, report expiry date, and coordinate in a proper time the renewing of them
  • Update on monthly bases the monitoring sheet of the issued POs to ensure that all the expenditures and balances are match with work plan
  • Update and maintain unit filing system
  • Assist in the administrative and logistics preparations and activities for the regional committee
  • Make necessary arrangements regarding duty travel of staff in the unit, submit travel requests (TRs) in the global management system (GSM), arrange for flight and hotel reservations and deal with other related matters
  • Act as unit’s leave administrator by monitoring the attendance and leaves through the absence dashboard, verifying leaves against attendance system, following up with staff to ensure confirmation of leaves, confirming their attendance, and calculating their overtime and compensatory days

Requirements

  • Secondary school education supplemented with secretarial training
  • University degree in Business Administration, Social Sciences or a related field is an asset
  • Three years, minimum, of relevant secretarial/administrative experience
  • Related experience in UN or international organisation
  • Good knowledge of WHO rules, manuals, practices/procedures and routine
  • Expert knowledge of English and Arabic
  • Intermediate knowledge of French
