United Nations Children’s Emergency Fund (UNICEF) is seeking to fill the position of Programme Assistant.
UNICEF works in some of the world’s toughest places to reach the world’s most disadvantaged children.
Responsibilities
- Facilitate the processing of contracts for consultants, vendors, and external partners that support the office in programme delivery
- Collect invoices and file documents for approval and thereafter process in Vision and Service Gaterway
- Prepare and maintain records, documents, and control plans for the monitoring of project/programme implementation and financial expenditures
- Support the management of administrative supplies and office equipment
- Maintain office calendar and arrange meetings
- Take minutes of meetings and keep the correspondence of the team well-organised
- Provide travel assistance to staff members in section for travel arrangements and entitlements based on the organisation’s rules and policies
- Liaise with relevant travel focal points to ensure that the organisation obtains the best service and price for travels
- Maintain and update a system that monitors the absence of staff
- Prepare and maintain records of programme planning and development
- Carry out transactions in Vision, ensuring programme results, activities and programme coding are as per annual work plans and make amendments and alterations as per section revisions when necessary
- Support capacity development activities, meetings, and conferences by making logistical arrangements through engaging with facilitators, caterers, and hosts
Requirements
- Five years, minimum, of progressively responsible administrative or clerical work experience
- Fluency in French
- Knowledge of another official UN language (Arabic, Chinese, English, Russian or Spanish) or a local language is an asset
- Thorough knowledge of UNICEF administrative policies and procedures
- Strong organisational, planning, and prioritising skills and abilities
- High sense of confidentiality, initiative, and good judgment
- Ability to work effectively with people of different national and cultural backgrounds
- Training and experience using MS Word, Excel, PowerPoint and SharePoint
- Strong office management skills
