United Nations International Children’s Emergency Fund (UNICEF) is seeking applications from eligible applicants for the post of Administrative Associate.

Responsibilities

  • Monitor budget and financial expenditures of section, ensuring compliance with UNICEF rules and regulations, keeping supervisor informed and advised on actions for decision/follow-up
  • Provide support in the areas of budget revision/preparation, implementation, determination of funding utilisation, and financial closure
  • Ensure the availability of timely, complete and accurate information and data for preparing section workplans and project management plans
  • Undertake basic research and perform comparative analysis of project/programme-related data
  • Guide managers in the process of PCA/SSAs in line with the policies and guidance issued by FRG, supply division and DHR
  • Facilitate the processing of contracts for consultants and external partners that provide a service to the section
  • Facilitate the communications and workflow of the organisational unit to enhance the efficiency and timeliness of operations and outputs
  • Manage incoming and outgoing correspondence
  • Maintain office calendar and arrange meetings
  • Take minutes of meetings, ensuring accuracy, attention to detail and coherence

Requirements

  • Secondary school education, preferably supplemented with a technical or university programme related to the field of work
  • Six years, minimum, of relevant administrative or clerical work experience
  • Fluency in French and good working knowledge of English
  • Knowledge of the local language of the duty station (highly desirable)
