The United Nations Population Fund (UNFPA) is seeking to fill the position of Personal Assistant to the Resident Representative.

The United Nations Population Fund, formerly the United Nations Fund for Population Activities, is a UN agency aimed at improving reproductive and maternal health worldwide.

Responsibilities

  • Ensure optimal communication flows between the representative and the staff of the country office as well as external counterparts
  • In consultation with other country office personnel, respond to requests for information, in a timely, discrete manner
  • Prepare documentation and presentations, including correspondence, briefs and reports, and research and collate material to meet the representative’s needs for official trips and meetings
  • Proofread correspondence for conformity with established procedures and accuracy of statements before being signed by the representative
  • Undertake logistical administrative and financial arrangements in consultation with the operations manager/operations specialist for meetings, workshops and official receptions
  • Coordinate the secretarial services
  • Manage the representative’s calendar and schedule of appointments
  • Manage all aspects of the representative’s travel arrangements, including maintaining appropriate files and reports and monitoring the budget of the representative’s office
  • Assist in the preparation and finalisation of the country office management plan, including the preparation of information translations, and acting as an interpreter, if required
  • Maintain a database of addresses, phone and fax numbers of government officials, NGOs and the diplomatic corps
  • Perform any other task that may be assigned by the representative from time to time

Requirements

  • Secondary school education
  • First level university degree (desirable)
  • Six years of relevant experience in administration
  • Some experience in research assistance
  • Strong interpersonal and organisational skills
  • Proficiency in current office software applications and corporate I.T. financial systems
  • Good written and verbal communication skills
