Plan International is seeking to fill the role of Human Resources Assistant for the Supporting Adolescent Girls’ Education (SAGE) Project.

Responsibilities

  • Manage, update and maintain all SAGE Plan International personnel file records in a confidential and secure manner, ensuring easy retrieval
  • Ensure personnel file records are checked for completeness, validity, accuracy and authenticity, documentation and qualifications prior to filing
  • Maintain an effective electronic HRIS, ensuring completeness and accuracy of records at all times in line with organisational standards and fitting practices
  • Follow up on compliance submissions such as performance appraisal forms, signed policy documents, contract renewals, probationary assessments, police clearances, submission of certified qualification copies, etc., ensuring the completeness of personnel records at all times
  • Ensure leavers’ clearance forms are reviewed for completeness prior to the CHRM’s approval within five working days of staff separation
  • Compile and submit timely and accurate monthly payroll information for processing within specified timeframes
  • Attend to HR mail and telephone calls in a timely and satisfactory manner
  • Participate in HR department meetings, workshop, or disciplinary hearings and take timely and accurate minutes
  • Generate requisitions for goods and services relating to the HR department
  • Develop accurate job descriptions

Requirements

  • Diploma in Human Resource Management or Office Administration
  • Good understanding and application of the country labour laws
  • Good thematic knowledge in the field of human resources
  • Excellent communication, analytical and problem-solving skills
  • Strong negotiation, facilitating and influencing skills
  • High degree of confidentiality and integrity
  • Strong planning and organisational skills
  • Proficiency in using MS Office tools
