Plan International is seeking applications from eligible applicants for the post of Administrative Intern.
Plan International is an independent development and humanitarian organisation that advances children’s rights and equality for girls.
Responsibilities
- Set specific learning objectives at the beginning of the internship
- Assist in the stamping of payment vouchers
- Provide filing assistance in finance and administrative departments
- Assist the admin to follow up vehicle repairs and refueling of Plan International’s cars
- Assist in the delivery of tender documents and transmission of mails
- Provide support for the purchase and supply of goods and materials
- Prepare offers for bids in accordance with the bidding guidelines and coordinate activities of selection committee
- Ensure the effective management of store to ensure the effective implementation of programme activities
- Follow up with the driver for vehicle maintenance
- Screen incoming calls and properly divert calls to concerned party
- Responsible for handling all incoming and outgoing calls for an efficient flow of communication
- Screen incoming and outgoing visitors/mails
- Receive visitors and direct them appropriately
- Receive mails and parcels and ensure that they are appropriately dispatched without delay
- Provide secretarial support to the office
- Ensure that there is a proper filing system for incoming and outgoing mails and other documents for the core management
- Carry out internship while respecting Plan International’s programme principles and professional ethics
- Perform any other duties that may be assigned from time to time
Requirements
- University degree in Accounting, Finance, Administration or a related field
- Some minimum experience of purchasing, maintaining inventories and materials
- Computer skills will be an added advantage
- Ability to use general office equipment, such as photocopier, printer, etc
- Experience in working with an international NGO will be an advantage
