The Norwegian Refugee Council (NRC) is seeking to fill the role of Administration Officer.

NRC provides assistance, protection and durable solutions to refugees and internally displaced persons worldwide.

Responsibilities

  • Liaise with relevant authorities in consultation with HR manager and head of support
  • Manage processes for visas, work permits and residencies for international staff and visitors
  • Ensure travel, accommodation and administration needs of NRC visitors and consultants are met
  • Ensure maintenance of the Tunis office, including office equipment and furniture
  • Ensure adequate supply of stationery and office supplies
  • Responsible for maintenance of the Tunis guesthouses, guesthouse equipment and supplies
  • Liaison with landlords on matters related to the lease agreements of international staff accommodation and offices
  • Review and track international staff members’ bills related to utilities covered by NRC
  • Register and/or prepare purchase requisitions, quotations and purchase orders and update monthly reports
  • Liaise with suppliers to ensure prompt and accurate delivery of goods, services and equipment
  • Receive supplies and ensure they are in good condition and accompanied with correct documents
  • Manage and track the assets in Tunis as per the regulation of asset management in the logistics handbook
  • Ensure that logistics archives are in use and maintained according to the NRC regulations (both hard and soft copies)
  • Ensure that Tunis staff records in the country office are up-to-date and filed appropriately
  • Coordinate staff recruitment and exits, introductions, training, staff benefit schemes for Tunis-based staff
  • Induct international Tunis-based staff to ensure that they understand and are aware of their benefits and SoPs are applied correctly
  • Assist the HR manager in arranging recruitment and HR administrative issues inside Libya

Requirements

  • Fluency in English, both written and verbal
  • Fluency in Arabic, both written and verbal
  • French language skills will be an advantage
  • Intermediate computer skills (Excel, Word, and Outlook)
  • Strong communication and interpersonal skills
  • Service minded, with strong organisational and planning skills
  • Good cultural awareness and sensitivity
  • Highly approachable, trustworthy and confidential
  • Good diplomacy and negotiating skills
  • Attention to detail, problem solving, and excellent time management
