The Family Health International (FHI 360) is seeking to fill the role of Human Resources Officer.
FHI 360 builds local capacity for the delivery of sustainable, high-quality, comprehensive HIV/AIDS prevention, treatment, care and support services.
Responsibilities
- Review staff requisitions for correctness and completeness
- Support the recruitment process for employees and consultants with tasks such as creation of entries into FHI360 HRIS system and subsequent scheduling of interviews, creation of interview files and conducting reference checks
- Collect relevant pre-hire paperwork from prospective candidates
- Liaise with relevant departments on provision of office space for new employees
- Orient new employees on code of conduct and FHI360 policies
- Conduct new employee orientation and ensure all relevant documents are included in orientation package
- HRIS administration, including entering new employees into the system and subsequent changes until separation
- Maintain an accurate personnel filing system for all staff, ensuring that each individual file conforms to audit expectations
- Ensure personnel file security
- Ensure all staff have both manual and e-files
- Maintain an accurate record of employee leave, ensuring compliance with statutory and FHI360 leave policies
- Assists in the preparation of personnel action records (PARS) for finance action
- Follow up on approvals for all HR documents such as signing of Person Action Records (PAR) for new employees’ and subsequent changes
- Ensure PARS are filed in respective files
- Ensure staff workday information is correct and updated
- Update job descriptions as recommended and upload on shared drive
- Prepare contracts for new employees for review
- Check to ensure all contracts distributed are correctly signed, returned and properly filed
- Advise staff members on their leave entitlements
- Keep track of extended leave or non-accrued leave and advise when exhausted
Requirements
- Bachelor’s degree in Social Sciences or its recognised equivalent and three years, minimum, of relevant experience; or master’s degree in Business Administration, Social Sciences or its recognised equivalent, and two years, minimum, of relevant experience
- Knowledge of workday HRIS and experience in handling disciplinary processes are added advantages
- HR experience in international development organisation is an advantage
