Food and Agriculture Organisation (FAO) is seeking to fill the role of Field Support Administrative Assistant.

FAO is a specialised agency of the United Nations that leads international efforts to defeat hunger.

Responsibilities

  • Provide general administrative Support to the field support unit
  • Liaise with administration unit on administrative and financial actions related to the field offices, staff management, travel, payments, input delivery and value procurement by field offices
  • Coordinate recruitment of new field staff and contract extension for old field staff
  • In collaboration with the FAOR’s office, support the organisation of high level field visits including donor missions
  • Tract leave plans for heads of field offices and update the field support unit regularly
  • Facilitate field staff duty travels, national and international, including ensuring travel authorisation, visa requests, ID cards, accommodation booking, transportation requests and other arrangements are processed on time.
  • Facilitate logistical and procurement processes for workshops, training, and events organised by field offices including securing approvals for purchase request and technical clearance, vehicle requests and request for operation advances
  • In collaboration with the FAOR’s office, organise high level field visits including donor missions
  • Step in for any field office admin/finance associate out of duty

Requirements

  • Diploma in Business Administration or a related field (bachelor’s degree is a plus)
  • Two years of relevant experience in administration support, coordination and data management
  • South Sudanese national
  • Results focus and teamwork
  • Communication skills
