Food and Agriculture Organization (FAO) has opened applications for the role of Administrative Assistant.

Responsibilities
- Conduct administrative support functions in relation to staff
- Support the management in office administration/management
- Support in financial management, ensuring financial management system complies with FAO requirements
- Support the management and administration of financial records and monitoring systems for the office
- Review and check payment/invoice requests from project offices in accordance with FAO rules and procedures
- Ensure verification of documentation for processing of payments
- Organise appropriate filing system by maintaining records and files in accordance with FAO standard filing system
- Assist in handling day-to-day operational activities
- Provide support in the area of accounting, budget or financial queries
- Monitor vendor and operational advances and other receivables and ensure timely clearance of outstanding items
- Respond to both normal and unpredictable operational needs in accordance with FAO rules and procedures
- Maintain contacts and liaise with relevant stakeholders and project colleagues
- Conduct administrative support functions in relation to staff, office premises, furniture, equipment, vehicles and transport in accordance with FAO guidelines
- Ensure adequate maintenance of office premises, all equipment, security appliances and vehicles
- Provide general office support services to help ensure the smooth functioning of offices
- Review, record and/or process mail or other documents
- Gather pertinent background material, track and monitor follow-up action
- Ensure tracking of all incoming and outgoing correspondence
- Ensure timely processing of utility bills
- Consolidate and monitor the travel plan for FAO Mozambique in line with FAO rules and procedures
- Maintain all information regarding travel
- Initiate and process the travel authorisation of the office and submit for DSA payment
Requirements
- University degree in Business Administration, Economics, Finance, Social Sciences, or a related field
- Two years, minimum, of relevant experience in administrative and office support work
- Good knowledge of Microsoft Office applications, Internet and office technology equipment
- Ability to use accounting software and other information systems and databases to insert data, make enquiries, retrieve/define ad hoc reports and analyse and edit results in an appropriate format
- Working knowledge (level C) of English and fluency in Portuguese
- Nationality of Mozambique
