The Centre for Infectious Disease Research in Zambia (CIDRZ) is seeking to fill the role of Administrative Assistant.

CIDRZ is a non-profit organisation with the mission to improve access to quality health care through innovative capacity development.

Responsibilities

  • Provide secretarial assistance and type office documents with accuracy, proper formatting and neatness
  • Manage mail, update contact lists and distribute meeting minutes timely
  • Ensure strict confidentiality
  • Ensure logistical travel arrangements, both local and international
  • Request, dispense and retire petty cash in a timely manner
  • Schedule appointments and communicate with programme teams to coordinate request applications for programme initiatives, and their implementation
  • Order/buy/manage office supplies
  • Work together with the programme teams to collect quotes and other procurement-related activities
  • Maintain an active log system on all logistics orders and deliveries
  • Maintain a good hard and soft copy filing system on all programme correspondence and other documentation
  • Proactively liaise with coordinators when problems arise, and come up with possible solutions
  • Communicate professionally and proactively with CIDRZ external stakeholders
  • Send out invitations, request funds, organise all other logistical matters for trainings and workshops as required
  • Prepare periodic reports and documents as required
  • Follows up with other staff on programme matters requiring timely decisions and actions

Requirements

  • Grade 12 certificate
  • Diploma in Business Studies
  • Two years, minimum, of relevant administrative work experience
  • Excellent interpersonal and communication skills
  • Proficiency in using Microsoft Office programmes
  • Accuracy/eye for detail and ability to work under minimum supervision
  • Ability to work with deadlines, can independently prioritise work with a positive attitude as team player
