Chemonics is seeking to fill the role of Operations Specialist.

Chemonics is an international development firm with the aim to reimagine global supply chains to deliver essential medicines to the right place at the right time.

Responsibilities

  • Oversee office operations, logistics, events coordination, procurement, financial, and administrative tasks and coordinate with the project home office team
  • Facilitate processing of contracts for consultants, vendors, and external partners that support FHM Engage Liberia in programme delivery
  • Prepare and maintain records and document control to ensure successful project implementation and accurate tracking of financial expenditures
  • Support the management of administrative supplies and office equipment
  • Maintain office calendar, arrange meetings with external stakeholders and project partners, and disseminate meeting minutes
  • Provide travel assistance to staff members in compliance with USAID rules and regulations for travel and per diem
  • Liaise with travel agents to ensure that the organisation obtains the best service and price for all travels
  • Manage office procurements, including issuing request for quotations (RFQs) and request for proposals (RFPs), obtaining and reviewing price quotes from suppliers, writing selection memos, negotiating with suppliers as necessary, overseeing the delivery and inspection of goods, and collecting and filing all relevant procurement documents in accordance with Chemonics’ processes and procedures for field office procurement
  • Support capacity development activities, meetings, and conferences by making the logistical arrangements through engaging with facilitators, caterers, and hosts
  • Arrange times through liaising with participants over availability; liaise with budget focal points and section over costs and needs; and prepare background materials for participants

Requirements

  • Five years, minimum, of experience working on donor-funded projects in a similar role
  • Experience in at least three of the following areas: procurement, finance, operations, logistics, event planning, office management, communications, programme management, and monitoring and evaluation for a donor-funded project in Liberia
  • Degree in Public Administration, Business Administration, Procurement, Management or a similar field (preferred)
  • Demonstrated leadership, versatility, and integrity
  • Fluency in written and spoken English
