The African Union (AU) is seeking to fill the position of Executive Assistant.

Responsibilities
- Provide administrative and professional support for the delivery of assignment in respective area of work
- Facilitate and implement activities and programmes with reference to established policies and procedures
- Provide support in following up on the activities of the Office of the Director General (ODG)
- Conduct initial analysis and generate draft reports in a timely manner for the respective office and AU’s internal use
- Provide support to senior officers in setting the overall research direction of a relevant technical area
- Participate in the organisation of relevant meetings, congresses and conferences with stakeholders
- Prepare draft briefs from engagement with relevant mid-level stakeholders and develop relationships as may be delegated
- Provide support for the promotion of the activities of the ODG including preparing leaflets, guidelines and fact sheets and others as appropriate in collaboration with counterparts in communication
- Provide technical support to internal and external stakeholders
- Maintain the work schedule of the office in general and the supervisor in particular
- Prepare and share calendar in due time, to allow proper preparation for scheduled activities
- Analyse and maintain an overview of the ODG’s work to ensure that timely administrative and technical support is provided in general and specialised areas
- Prepare plans related to the organisation of meetings identified by the ODG, including coordination of invitations, confirmation, ticketing and accommodation for multiple participants for the office
- Guide and coordinate efforts of the administrative support and registry staff on planned activities
- Lead and provide guidance to the administrative support staff of the ODG, to effectively channel incoming correspondences and enquiries, to liaise with internal and external stakeholders
- Provide oversight on matters related to facilities management, activities linked to issues of security and protocol, finance, human resources, supply chain, security, conference management and other service providing departments as well as service providing bodies
- Provide first-hand technical and administrative support to the ODG in preparing draft budgets, work plans, summaries for the reference of the supervisor, to facilitate guidance, decisions and actions, as appropriate
- Conduct research on topics related to the activities of the office or matters identified by the management and members of the ODG, to facilitate activity implementation and decision making
- Provide support on the implementation and monitoring of budgets
- Carry out other related responsibilities
Requirements
- Bachelor’s degree in Business Management, Business Administration, Public Administration, Programme/Project Management or a related field
- Two years of relevant work experience in administration, office management and/or programme management, with adequate exposure to secretarial and records management work
- A higher qualification will be an added advantage
- Experience in office management
- Experience in planning and coordination of meetings with various stakeholders
- Supervisory experience and work experience in SAP will be an added advantage
