African Development Bank (AfDB) is seeking to fill the role of Operations Assistant.

AfDB’s mission is to spur sustainable economic development and social progress in its regional member countries (RMCs).

Responsibilities

  • Provide operational support to the director general in North Africa
  • Manage the electronic data archiving system
  • Manage the database and perform any task related to data entry and analysis
  • Coordinate the preparation and monitoring of the annual work programme
  • Coordinate the preparation and monitoring of the quarterly mission programme
  • Compile the portfolio database of the division/department
  • Compile and present data on projects
  • Report on accuracy and completeness of SAP, BPPS and SRAS data
  • Prepare and monitor the implementation of the administrative budget and determine/recommend allocation of funds when necessary
  • Assist with recruitment of consultants, initiate SAP processing of contracts, prepare service orders, process their payments and follow them up with the accounting and treasury units concerned
  • Prepare monthly, quarterly and annual reports on the management and performance of the division activities
  • Facilitate training on the use of the bank-wide project processing schedule (BPPS) and SAP
  • Assist in preparing documents, briefing notes, spreadsheets and correspondence necessary to manage work programme and projects/programmes
  • Assist in the preparation and organisation of activities like seminars, workshops, etc
  • Prepare inputs for the MOS presentations and RDGN dashboard
  • Follow up and coordinate inputs on the performance delivery plan and KPIs
  • Reconcile information on the BRAG with BPPS and SAP
  • Prepare regular inputs on flagged operations and actions to be taken
  • Provide cross-cutting support to RDGN in terms of portfolio-related information on ad hoc basis

Requirements

  • Bachelor’s degree, minimum, in Public Administration, Management, Information Technology, or a related field
  • Five years, minimum, of progressively relevant and practical experience with an international organisation
  • Ability to work as part of a team, providing support to other team members where needed
  • High integrity and accountability in all aspects of portfolio management and programme implementation
  • Excellent organisational and communication skills
  • Ability to work under pressure in the dynamic setting of an international and multicultural setting
  • Knowledge of administrative duties
  • Excellent written and verbal communication skills in English or French
  • Competence in the use of Word, Excel, Access, PowerPoint
  • Knowledge of SAP will be an asset
